During the past year the Klub has instituted a few new policy changes for the good of the Klub and its members. We understand that change can be difficult sometimes, but often it is necessary. In the past the Klub and its members could conduct business with a handshake and a promise. Unfortunately the world around us has changed and we must adapt and grow.
As your voice on the board we do listen and bring your concerns and questions forward. While attending a few rallies in the past months we have a had questions about the cancellation policy and we thought we would give you all a bit of information.
Recently there was a cancellation policy presented, and although if may not seem fair, it is done so that the Klub and more importantly your Rally Host are not deprived of their own monies. Many have paid out of their own pockets to hold location and events. Campgrounds have changed and now require a deposit (in various amounts) to hold sites. This is done for holding the sites open for a registration period, and then once booked a cancellation fee of a full night or in some case the entire amount. Events that are scheduled for a rally often require a deposit or want the full amount paid by a specific date. In order to continue holding events we must work with these establishments.
We know that life happens and the unexpected is just around the corner and sometimes people need to cancel. Rally Hosts, State/Provincial and Region Directors try their best to refund what they can. A win win is if there is a waiting list for the rally/event and they can just exchange names. But if there is not someone waiting the rally host cannot return what is not available to return. We wish we could go back to the days of a handshake and a promise, but we don’t see that happening. And please give the host as much notice as possible, please don’t just not show up.
On the flip side of this issue is a trend we have begun to see, members showing up for rallies without having registered. Recently a rally host was presented with 10 coaches (20 people) who had not signed up for the rally. Please don’t do this to your fellow members, although the campground may have had space for you to park, the host has not planned for your attendance. To be nice they do their best to accommodate those not registered but it put huge stress on them to up food counts, work with scheduled events to get more people into something. It’s things like this that force the Klub to create new policies. We want everyone to enjoy and have fun. All of our Chapter Officers, Rally Host, State/Provincial and Region Directors are volunteers, we ask that you do your best to work with them and not against.
